Clearfolio runs on iPhone and iPad with iOS or iPadOS 17 or later. Its interface is English. No account is required.

Create your first project
- Create a project and enter its client and intended use.
- Add an asset: music, footage, image, font or another type.
- Record its provider, source reference and licensee. Add notes about the use you checked.
- Attach the relevant PDF, image or text file from Files.
- Read the source documents and confirm your own review for the stated use.
- Seal the version when you want to preserve that record, then export its PDF passport.
What do the evidence states mean?
Missing evidence: required evidence is absent or an attached file is unavailable. Needs review: the asset still needs your confirmation for the stated use. Evidence recorded: a document is present and you recorded your review for that use.
A recorded review is your own record. Clearfolio does not read license terms automatically, verify copyright, grant permission or certify legal compliance.
Which documents can I attach?
Use the system file picker to select a PDF, image or text document of up to 25 MB. Clearfolio keeps its own copy. If a file is in a cloud storage service, it may need to download through that provider before import. Try opening it in Files first if an import fails.
Can I change a sealed version?
A sealed version's contents stay fixed inside the app. Create a new version for edits and compare the versions to see which assets changed. A changed intended use requires another review. Sealing is not a digital signature, notarization or independent timestamp.
What does the PDF contain?
The PDF passport is an evidence register. It includes the project, version, intended use, asset records, evidence status, review details and references to attached documents. It lists the original document filenames and their SHA-256 hashes. A hash identifies file contents; it does not prove that a license is authentic.
The PDF does not embed the original attachments and does not create a public cloud link. In the passport preview, you can enable “Include … evidence files” to share available originals alongside the PDF. Then tap “Share passport” and choose a destination. Leave the option off to share only the PDF. A full backup is a separate way to transfer your complete library.
How do backups work?
Open Settings, tap “Export full backup” and save the .clearfolio file somewhere you control. It includes your library and attached documents. Version 1.0 supports up to 100 MB of evidence per backup. Keep the file private; Clearfolio does not add a password to it.
In Settings, “Import backup” imports validated records and merges them with the existing library. Conflicting existing records are not overwritten. If a restore is rejected, keep both libraries and the original backup until the cause is understood.
There is no automatic sync between devices. Device backups may include app data depending on your settings, but an exported backup gives you a file you can move yourself.
How do I remove my data?
Removing a project record leaves imported document copies in the library, including for later backups. To remove the entire local library and its documents, delete Clearfolio from your device. Export a backup first if you want to retain a copy. Separately remove earlier exports or device backups if you no longer want those copies. Offloading the app can retain its data.
Something went wrong
Keep the exact error message, app version, iPhone or iPad model, system version and steps that led to the problem. If an attachment is involved, note its format and size. Avoid deleting the app while you still need to recover its data.
Use fictional or redacted sample content when describing a problem. Do not share a complete client library unless it is necessary and you are authorized to do so.
Purchases
